From meeting recording to action items in minutes: an AI workflow

How to prepare a one-page brief before every meeting and turn the transcript into decisions, owners and deadlines afterwards, with a before and after example.

Meetings are not the problem. Meetings that end without owners and dates are. A little structure before and after the call fixes most of it, and AI can do the boring parts.

Before the meeting: a one-page brief

Five minutes of prep changes the quality of a meeting. A good brief has:

  • Purpose: the one decision or outcome the meeting is for.
  • Context: what happened since the last meeting.
  • Questions to settle: two or three, written down.
  • People: who is in the room and what each person cares about.

An assistant connected to your calendar can draft this from the invite and your notes, so you walk in prepared without spending your morning on it.

After the meeting: decisions, owners, dates

The recap is where meetings pay off. Aim for four short sections:

  1. Decisions: what was agreed.
  2. Actions: who does what, by when.
  3. Open questions: what is still undecided and who owns finding out.
  4. Next meeting: when and what it needs to cover.

Before and after

A 40-minute transcript: a rambling product sync with six topics and no summary.

The recap:

Decisions: ship beta Friday; drop the legacy export. Actions: Priya, fix signup bug, Wed. Marco, update pricing page, Thu. Open: who owns the support rota?

Same meeting, thirty seconds to read, and nobody has to ask "what did we agree?".

The workflow

  1. Brief: generate a one-page brief the evening before.
  2. Capture: record or transcribe the meeting, and note decisions as they happen.
  3. Recap: paste the transcript and get decisions, owners, deadlines and open questions.
  4. Send: share the recap in Slack or by email before everyone closes their laptop.

Setting it up

  • Skill (Claude, ChatGPT, Codex, Cursor): brief, capture and recap modes you invoke in any chat.
  • Bot (Grok Bot): an evening routine reads tomorrow's calendar and prepares a brief per meeting. Recaps go to Slack after your approval.
  • Dot (ChatGPT dot): your dot keeps the decision log current and chases overdue actions, and asks before it messages anyone.

Tips

  • Always check names and dates against the transcript before sending.
  • Keep recaps under a screen. Long recaps do not get read.
  • Put the owner and the date on every action, with no exceptions.
