Tonight's heads-up for tomorrow
Antes
Wed Oct 7, 5:30 PM. Thursday: a 1:1, a 9-person product sync with no agenda, Acme QBR prep, and the Northwind renewal call at 4:00 PM. Notion: you still owe Northwind a revised quote, due Fri Oct 2.
Depois
4 meetings tomorrow, first at 9:00 AM. Highest stakes: Northwind renewal call, because you owe them the revised quote (3 working days late). Needs you tonight: - Send Northwind the revised quote, or decide what you will say about it at 4:00 PM. - Get Owen's answer on 12% for a 2-year term before 4:00 PM. - Weekly product sync: 9 people, no goal in the invite, status topics only. Could be async.
A transcript dropped in #war-room-inbox
Antes
Slack, #war-room-inbox, Mon Oct 26, 11:48 AM. You post "capture Mobile release go/no-go" with go-no-go.txt attached (28 min, no header). Key lines: [00:40] Marco: 4.2 passed QA except the offline sync crash, 3 repros on Android 13 [03:15] Elena: ok. Ship 4.2 on iOS Thursday. Android waits until the crash is fixed. [03:22] Owen: fine by me [04:02] Marco: I'll have a fix or an estimate by Friday [05:10] Dana: I'll redo the store screenshots for the new onboarding by Wednesday [06:45] Marco: we should probably tell support about the Android delay Google Calendar: Mobile release go/no-go, 11:00 to 11:30 AM ET. Elena Park, Marco Diaz, Dana Okafor, Owen Brooks, you. Sam Lee declined. Notion, Mon Oct 19 capture: A2 "Sam Lee: Draft the 4.2 release notes. Due: Fri Oct 23." Status: Open.
Depois
Inbox capture from your 11:48 AM message in #war-room-inbox. The file has no header, so the date and attendees come from the Google Calendar event "Mobile release go/no-go" that ended at 11:30 AM. CAPTURE: Mobile release go/no-go, Mon Oct 26, 2026 Attendees: Elena Park, Marco Diaz, Dana Okafor, Owen Brooks, Priya Raman. Absent: Sam Lee. Source: transcript, full meeting (28 min) DECISIONS D1. Mobile app 4.2 ships on iOS on Thu Oct 29; Android 4.2 waits until the Android 13 offline sync crash is fixed [confirm: a date for Android]. Decided by: Elena Park. Why: 4.2 passed QA except that crash (3 repros). Revisit: when A1 reports, Fri Oct 30. [03:15] ACTION ITEMS A1. Marco Diaz: Report a fix or a ship estimate for the Android 13 offline sync crash. Due: Fri Oct 30. Done when: fix merged, or estimate shared with Elena. [04:02] A2. Dana Okafor: Redo the app store screenshots for the new onboarding flow. Due: Wed Oct 28. Done when: screenshots added to the iOS 4.2 release. [05:10] A3. Marco Diaz [suggested]: Send Sam Lee the Android delay and the crash details for support. Due: Wed Oct 28 [suggested]. Done when: Sam confirms support has them. [06:45] OPEN QUESTIONS None. RISKS None raised. FLAGS - D1's condition has no date: "until the crash is fixed". Kept as a decision with [confirm]; A1 should give you the date. - Orphan action: "we should probably tell support" [06:45] had no owner. Suggested Marco Diaz, who raised it. Sam Lee was absent, so the item sits with the attendee who will tell him. - Not discussed: A2 from the Mon Oct 19 capture, "Sam Lee: Draft the 4.2 release notes. Due: Fri Oct 23." Still Open in Notion, 1 working day late, and iOS ships Thu Oct 29. - Dates: "Thursday" [03:15] is Thu Oct 29, "Friday" [04:02] is Fri Oct 30, "Wednesday" [05:10] is Wed Oct 28. Resolve the FLAGS, then say "log it" to save to Notion, or "recap" for the Slack draft. Nothing was posted in #war-room-inbox and nothing was saved to Notion.

O que vem no Kit
- meeting-war-room-bot-setup.md
Sobre este Kit
Every evening from Sunday to Thursday, this Grok Bot reads tomorrow's calendar and hands you a one-page brief for each meeting, with the 3 questions you need settled and anything you still owe the people in the room. After the meeting it turns the transcript into decisions and owned action items, drafts the Slack recap for your approval, and on Fridays chases whoever is late. Setup takes about 15 minutes.
What you get
- A setup file that builds the Bot in Grok Bot: name, label, the full description with its approval rules, and one setup message that saves every skill and routine.
- Five skills, each one available with
/:- Tomorrow's prep: ranks tomorrow's meetings by stakes and writes a BRIEF for each, pulling open items from your Notion log.
- Capture from transcript: DECISIONS, ACTION ITEMS, OPEN QUESTIONS, RISKS and FLAGS, with fake decisions and ownerless actions caught.
- Recap and post: a Slack recap under 150 words, a client-safe email, or a direct message for absent owners.
- Action item chase: overdue items by owner, one bundled nudge each, and the items that need your call.
- Decision lookup: "what did we decide about X", answered from the log, never from memory.
- Three routines: Evening prep (Sunday to Thursday, 5:30 PM), Weekly action sweep (Fridays, 10:00 AM, with a scoreboard), and an optional Inbox capture that runs when you drop a transcript into a private Slack channel.
- A Notion layout for the record: Decision Log, Action Items and a Captures page, with the exact properties to create.
- A test run with a sample transcript and the result to expect at each step.
The output blocks match the Meeting War Room Skill and Dot, so captures move between them unchanged.
Who it is for
- Managers and founders with 15 or more meetings a week who prep in the 5 minutes before each one.
- Chiefs of staff and EAs who own follow-through for an executive.
- Teams that already work in Slack and Notion and use Google Calendar.
What it will not do
- Post, send or write anything without your yes. Each Slack post, each nudge and each Notion change waits for your approval, one draft at a time.
- Accept, decline or move meetings. It tells you which ones could be async; you decide.
- Join or record calls. It works from the transcript or notes you give it.
- Message anyone outside your company, or go to someone's manager about a late item.
- Read Google Docs or Slides linked in invites. It summarizes Notion pages and invite text, and lists other links as "not opened".
