Most deals do not die in the call. They die in the two days afterwards, when the follow-up is late, generic, or never sent. AI is very good at fixing that, as long as you give it a method instead of a blank box.
What a good follow-up has
Before you automate anything, agree on what good looks like:
- It quotes the call. One specific thing the prospect said proves you listened.
- It names the next step. A date and a time, not "let me know".
- It is short. Under 120 words gets read.
- It answers the blocker. If onboarding time was the worry, the email addresses onboarding time.

The workflow
- Capture notes in any format. Typos and fragments are fine.
- Hand them to your assistant with the playbook. The playbook says: quote the call, name the next step, keep it short.
- Get three outputs. The email, a CRM-ready summary and a reminder with a date.
- Review and send. You stay in control of what goes out.

Common mistakes
- Letting the AI invent details. Tell it to use only what is in your notes.
- Sending without reading. Always skim for names, numbers and dates.
- One giant prompt for everything. Keep follow-up, CRM notes and reminders as separate, clearly named outputs.
- No next step. An email without a date is a to-do for the prospect.
