Sales Follow-up Kit

Every sales call ends with a sent follow-up, a dated next step and a clean CRM note.

Acme went quiet. Proposal sent Tue Oct 6 to Lena Ortiz: 40 seats, $28,800/yr. On the demo, Raj (their security lead) said nothing goes live without a SOC 2 report. We can share ours under NDA. Today is Mon Oct 12. Write the nudge.

Nachher

Subject: reply in thread (Acme proposal: 40 seats, annual) Hi Lena, Raj said on the demo that nothing goes live without a SOC 2 report. Ours is ready to share under NDA, so his review can start now instead of after you sign. Should I send the NDA to Raj directly, or would you rather loop him in? Jordan

northwind call w/ dana ruiz (vp ops). they're in chicago. 20 seats. dana: "we cannot do another six-week onboarding". told her we go live in 5 business days. CFO mark signs >10k. acme came in cheaper?? I owe onboarding plan + pricing. dana wants mark next time, thu or fri?

Nachher

Subject: Northwind: 5-day onboarding plan and pricing Hi Dana, You said you cannot do another six-week onboarding, so the attached plan gets 20 seats live in 5 business days. Pricing for 20 seats is attached too, so you and Mark have both in one place. Would Thu Oct 8 at 1:00 PM CT or Fri Oct 9 at 10:00 AM CT work for 30 minutes with you and Mark? Jordan

One deal, three pieces: from demo to an objection answered

Vorher

Tue Oct 6, 2:45 PM ET: the Orbit demo with Sam Patel and Jo Rivera ends. 2:50 PM, you message your dot from your phone: "orbit: loved approvals from email. jo worried about netsuite sync. want pilot w/ 2 entities. I owe pilot plan by fri" Sam's Oct 5 email: "we close the books in 9 days with 4 people. I want 6." Fri Oct 9: you send the pilot plan. Then nothing. Mon Oct 19: Jo replies: "Honestly the pilot price is more than we expected for two entities."

Nachher

From your dot, Tue Oct 6, 3:10 PM EMAIL Subject: Orbit demo: approvals, NetSuite and a 2-entity pilot To: Sam Patel <[email protected]> Cc: Jo Rivera <[email protected]> Attach: none Send: today, Tue Oct 6, by 6:00 PM ET Hi Sam, Your goal of closing the books in 6 days instead of 9 framed today's demo, so here is where we landed: - Approvals from email: the part you liked most - NetSuite sync: Jo's open question [confirm answer before sending] - Pilot: 2 entities, as you suggested Open items: - Me: the pilot plan with dates, by Fri Oct 9 Would Tue Oct 13 at 10:00 AM ET or Wed Oct 14 at 2:00 PM ET work to walk you and Jo through the plan? Jordan REMINDER Check: Fri Oct 9, 9:00 AM ET (the pilot plan you promised is due) If no reply: send the pilot plan as promised, with the NetSuite answer, and repeat the two times If they reply: book the time they pick once you approve Hold: Tue Oct 13, 10:00 to 10:30 AM ET and Wed Oct 14, 2:00 to 2:30 PM ET (tentative; create only after you approve) From your Grok Bot, Thu Oct 15, 8:00 AM PIPELINE, Thu Oct 15, 2026 (21 days, 45 for Proposal and later; 5 open deals) Nudge today 3. Orbit, Demo, Sam Patel: you sent last Fri Oct 9 (4 business days). Last: the pilot plan with review times that have now passed. Next: Nudge 1, new value: Asset, a sheet with his 9-day, 4-person close. EMAIL 3 (Orbit) Subject: reply in thread (Orbit pilot plan: 2 entities) To: Sam Patel <[email protected]> Cc: Jo Rivera Attach: close-time sheet [confirm attachment] Send: today, Thu Oct 15, by 10:00 AM ET Hi Sam, You close the books in 9 days with 4 people and want 6. The attached sheet uses your numbers: 3 days saved for 4 people is about 96 hours a month. Would Tue Oct 20 at 10:00 AM ET or Wed Oct 21 at 2:00 PM ET work to set the pilot start with you and Jo? Jordan From the Skill in ChatGPT, Mon Oct 19 EMAIL Subject: reply in thread (Orbit pilot plan: 2 entities) To: Jo Rivera <[email protected]> Cc: Sam Patel Attach: none Send: today, Mon Oct 19, by 4:00 PM ET Hi Jo, Fair question for a two-entity pilot. You and Sam said the close takes 4 people 9 days, and the goal is 6. Three days saved for 4 people is about 96 hours a month, against [confirm pilot price] for the pilot. If the pilot does not get you to 6 days, you will know after two closes, before any annual commitment [confirm terms]. Would it help to go through the numbers together on Tue Oct 20 at 10:00 AM ET? Jordan

Your dot's CRM note becomes a prep brief in Claude

Vorher

In Claude, with the Skill. You paste the CRM NOTE your dot wrote after Monday's call and ask: "Prep me for Thursday 1:00 PM CT with Dana and Mark." CRM NOTE Deal: Northwind, 20 seats (35 possible in Q1) Stage: Discovery (moves to Demo when Mark's call is booked) Contacts: Dana Ruiz, VP Operations, Champion; Priya Shah, IT, Technical buyer; Mark Chen, CFO, Economic buyer (not met) Pain: Last tool took 6 weeks to onboard; must be live before the Jan 4 fiscal year start Their words: "We cannot do another six-week onboarding." (Dana) Decision: Dana recommends; Mark signs anything over $10k Objections: onboarding time (5-day plan sent); SCIM (Priya, open) Competition: Acme, "came in cheaper", number unknown Next step: Thu Oct 8, 1:00 PM CT, plan and pricing review with Dana and Mark Gaps: Acme's number; budget; security or procurement review

Nachher

PREP BRIEF Meeting: Northwind, plan and pricing review, Thu Oct 8, 1:00 to 1:30 PM CT (2:00 PM ET) Attendees: Dana Ruiz, VP Operations, Champion, met Oct 5; Mark Chen, CFO, Economic buyer, new (signs anything over $10k) Where it stands: Discovery, moving to Demo with this call. Last touch: recap with the 5-day plan and 20-seat pricing. You owe: the SCIM answer for Priya [confirm]. They owe: nothing yet. Their words: "We cannot do another six-week onboarding." (Dana, Oct 5) Goal: Mark agrees the 5-day plan fits the Jan 4 deadline and asks for a proposal, with a date to review it Ask: 1. Mark: what do you need to see to approve this, and does anyone else sign? 2. Is there a security or procurement review, and how long does it take? 3. How are you comparing options, and what matters most besides price? Expect: "Acme came in cheaper." Answer: put the price next to the cost of another six-week rollout, in their numbers, and do not discount on the call Bring: the 5-day plan with Northwind's dates; pricing for 20 and 35 seats [confirm]; the SCIM answer for Priya Risk: Mark is new to the deal, and Acme has anchored a lower price

A break-up gets "later", and the deal comes back on the right day

Vorher

Tue Oct 27: you sent the break-up your Bot drafted for Acme (proposal Oct 6, three nudges, a note to Raj in security, no reply). Wed Oct 28, Lena Ortiz replies: "Later. We froze new tools until the January budget is set. Try me Jan 11." Your CRM is HubSpot.

Nachher

EMAIL Subject: reply in thread (Acme proposal: 40 seats, annual) To: Lena Ortiz <[email protected]> Cc: none Attach: none Send: today, Wed Oct 28, by 4:00 PM PT Hi Lena, Thanks, that is clear. I will be back in touch on Mon Jan 11, once the budget is set. Have a good end of year. Jordan CRM NOTE Stage: Nurture (moved from Proposal) Close date: [confirm] (January budget; reopen Mon Jan 11) Next step: Mon Jan 11, 2027, reopen with Lena once the budget is set, owner Jordan Risk: the freeze could move; proposal pricing may need refreshing in January Summary: Lena answered the break-up: new tools are frozen until the January budget is set, and she asked to be contacted on Jan 11. Moved to Nurture; the proposal stays on file. CRM fields: Deal stage = Closed lost; Closed lost reason = Timing (Nurture, reopen Jan 11); Task = "Acme: reopen with Lena", due 01/11/2027 REMINDER Check: Mon Jan 11, 2027, 9:00 AM ET (the date Lena gave) If no reply: nothing until Jan 11. Then a new thread: what changed since October, and two times for a 20-minute restart call If they reply: answer the same day Hold: none

Über dieses Kit

Every sales call ends with a sent follow-up, a dated next step and a clean CRM note, and no deal goes quiet without a nudge that adds something new. This bundle gives you the Skill, the Grok Bot and the ChatGPT dot that do it, plus the playbook that runs them as one system. Day 1 setup takes about 35 minutes; after that, follow-up takes about 20 minutes a day.

What you get

  • Sales Follow-up Skill for Claude, ChatGPT, Codex and Cursor. Notes or a transcript in; EMAIL, CRM NOTE and REMINDER out. Also recaps, proposal follow-ups, nudges, break-ups, objection replies and prep briefs. Ships with cadence rules by stage, a 15-objection library, templates T1 to T10, a subject line bank, a HubSpot, Salesforce and Pipedrive field map, and a worked example.
  • Sales Follow-up Bot for Grok Bot. Four skills (Post-call follow-up, Pipeline check, Stalled-deal nudge, Meeting prep brief) and three routines: the weekday 8:00 AM pipeline check, the 5:30 PM post-call sweep and the Friday review.
  • Sales Follow-up Dot for your ChatGPT dot. A responsibility pack: after each sales meeting the follow-up and CRM note are drafted, a running deal list stays current from Gmail, and decisions come to you. Includes 12 custom rules and a check-in schedule.
  • The playbook, bundle only. Who owns which job, so nothing is drafted twice. How work moves between the three through Gmail and the shared blocks. The daily and Friday rhythm, six metrics with starting targets, your first 30 days, and an FAQ.

How the three work together

  • Walk out of a meeting and message or call your dot. The follow-up is drafted before you are back at your desk.
  • The next morning at 8:00, the Bot's pipeline check lists every deal where you sent last and got no reply, with a nudge drafted for each.
  • For anything long or tricky, such as a 40-minute transcript or a price objection, paste it into the Skill wherever you work.
  • All three write the same blocks with the same field names, so any output from one is valid input to another.

Who it is for

  • Account executives and founders who run their own pipeline from Gmail and Google Calendar.
  • Sellers in back-to-back meetings who do follow-up at night, or lose deals because it slips.
  • Sales managers who want every rep's follow-ups, CRM notes and Friday numbers in one format.

What it will not do

  • Send email, or book, move or decline meetings without your approval. Every piece drafts and asks.
  • Offer discounts, change terms, or answer legal and security questions. Those come to you as a DECISION, with a holding email that commits to nothing.
  • Update your CRM for you. Each CRM NOTE ends with the exact field names for HubSpot, Salesforce or Pipedrive, so pasting takes about two minutes.
  • Invent customers, numbers, prices or deadlines. Unknowns come back as [confirm].
  • Write cold outreach or bulk sequences.

Bought separately

The Skill, the Bot and the Dot cost $19 each, $57 for all three. The bundle is $45, saves you $12, and adds the playbook, which only the bundle includes: the schedule split that keeps the Bot and the Dot from drafting the same email twice, the handoff map, the daily and Friday rhythm, the metrics log and the first 30 days. The playbook also covers running two of the three, if you work only in ChatGPT or only in Grok Bot.
